Rondanini UK Ltd is committed to protecting your privacy and handling your personal information responsibly and in accordance with UK data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

This notice explains how we collect, use and retain personal information when you apply for a role with us.

What information we collect

When you apply for a role with Rondanini UK Ltd, we may collect and process information including:

  • your name and contact details;
  • your CV, employment history, qualifications and skills;
  • information you provide as part of your application or during an interview;
  • information relating to your right to work in the UK;
  • references and information provided as part of our recruitment process; and
  • where appropriate and permitted by law, information required for pre-employment checks.

We may also process special category personal data where this is relevant and lawful, for example information you provide relating to reasonable adjustments or equal opportunities monitoring.

How we use your information

We use your personal information to manage our recruitment and selection process. This may include:

  • arranging and conducting interviews;
  • carrying out appropriate pre-employment checks;

Where we process special category personal data, we will only do so where an appropriate condition under data protection legislation applies.

Who we share your information with

Your personal information will only be accessible to those who need it for recruitment purposes. This may include members of our HR team, relevant managers involved in the recruitment process and, where necessary, approved third-party service providers that support our recruitment activities.

We will not sell your personal information or use the information provided as part of your application for unrelated marketing purposes.

How long we keep your information

If your application is unsuccessful, or you do not take up employment with us, we will normally retain the information held within our recruitment systems for up to twelve months following the end of the recruitment process.

After this period, your recruitment information will be securely deleted or anonymised unless there is a legal or legitimate reason for us to retain particular information for longer.

Email correspondence

Where you communicate directly with members of our team by email, copies of this correspondence may be retained within our email systems for a longer period in accordance with our normal business record retention practices.

This may include emails relating to your application, interview arrangements, recruitment process or other correspondence between you and our team.

Any personal information contained within retained email correspondence will continue to be handled in accordance with applicable data protection legislation. Retention of email correspondence does not affect your data protection rights, including your right to request access to the personal information we hold about you or to request deletion where the right to erasure applies.

If you are successful in your application, relevant information collected during the recruitment process may become part of your employee record and will be retained in accordance with our employee privacy and data retention arrangements.

Your data protection rights

Under UK data protection legislation, you may have the right to:

  • request access to the personal information we hold about you;
  • ask us to correct personal information that is inaccurate or incomplete;
  • request deletion of your personal information in certain circumstances;
  • ask us to restrict the way we process your personal information;
  • object to certain types of processing; and
  • exercise any other rights available to you under applicable data protection legislation.

These rights are subject to certain legal conditions and exemptions.

Requesting access or deletion

If you would like to request access to the personal information we hold about you, ask us to delete your candidate details, or exercise any of your other data protection rights, please contact our HR team at hr@rondanini.co.uk.

We will consider and respond to your request in accordance with applicable data protection legislation.
